Use Ventos on WhatsApp

Use WhatsApp for short requests and status checks while you are away from your computer. Replies are brief and mobile-friendly; use the web app when you need a longer or richly formatted answer.

Add your phone number to your Ventos profile.

  1. Set your phone number in Settings › Profile.
  2. Open a conversation with the agent: wa.me/16506400600.
  3. Send any message to begin — nothing else to configure.
  • Send quick requests and get concise, scannable answers.
  • Use every integration your organization has enabled.
  • Send files and images — the same file types are supported as on every channel .
  • Send voice messages — Ventos transcribes them automatically and responds to what you said.
  • Continue with follow-up messages.
  • Forward messages to Ventos — it saves the content for reference without replying, so you can add instructions afterward.
  • Use /clear to start a fresh conversation.
  • Ask Ventos to send a WhatsApp message to another team member — for example, “send Sarah the client brief on WhatsApp.”
  • Ventos works in 1:1 conversations only — no WhatsApp groups.
  • Ventos can’t send images or files in its replies; a generated file arrives as a download link you open in the web app.
  • Ventos can’t see which message you’re replying to when you use WhatsApp’s quote/reply feature — it only sees the new message text.
  • Formatting is limited to bold, italics, and simple lists — no tables or headers.

WhatsApp wasn’t designed for AI conversations, so a few habits help:

  • Send one message at a time. Each message is processed independently. Wait for a reply before sending a follow-up.
  • Forwarded messages and files without a caption are saved but not answered — Ventos reacts with ✅. Wait for the ✅, then send your instructions in a follow-up so the file is available when Ventos processes your request.
  • Files with a caption are processed together — the caption is treated as your instructions for that file.
  • Sending multiple files without captions works — wait for the ✅ on each. Avoid sending multiple files with captions: WhatsApp attaches the caption to only one, and the rest arrive without context.
  • Conversation history is the last 10 messages. Returning to an older topic may mean repeating the relevant details.
