Set up the ZenZap integration

Use this guide if you administer Ventos and ZenZap for your organization. After you connect the integration, Ventos creates a dedicated 1:1 topic for each member of your ZenZap workspace.

Organization connection

ZenZap is a messaging channel. Connecting it lets team members talk to Ventos in their private topics; it does not add ZenZap messages to the knowledge base.

How team members are matched

ZenZap doesn’t support OAuth, so there’s no per-person connection step. Instead, Ventos matches each ZenZap workspace member to a Ventos user by email address — a person’s ZenZap account email must match their Ventos account email. If the two don’t match, Ventos won’t create that person’s topic or recognize their messages.

Before you begin

You need access to Settings › Integrations in Ventos and permission to create an API key in the ZenZap Console. Keep the API key and HMAC secret private.

Connect ZenZap for your organization

1. In Ventos, open Settings › Integrations. Find the ZenZap card under Messaging and select Connect.
2. Copy the read-only Webhook URL shown on the card.
3. In the ZenZap Console, create a new API key. Paste the webhook URL and set an HMAC secret during key creation; both values are immutable afterward.
4. Return to Ventos. Paste the API Key and HMAC Secret, then select Save.

What success looks like

Ventos creates a 1:1 topic with every matching ZenZap workspace member and sends a welcome message. Members can then use Ventos in ZenZap without completing any personal setup.

If people do not receive a topic

Check that the integration is active and that each person’s ZenZap email matches their Ventos account email. Topic creation runs in the background, so allow a minute after connecting before retrying.
