Connect Notion to Ventos
Connect Notion so Ventos can search the pages your team shares and, once you connect your own account, create and update Notion content as you. An admin connects the workspace first; each team member then connects their own account.
Organization connection
Section titled “Organization connection”Connecting Notion for your organization indexes the pages an admin shares with Ventos, and every page and database row beneath them, into the knowledge base. Pages that are not shared are not indexed.
Before you begin
Section titled “Before you begin”- Organization setup needs an Admin role in Ventos.
- Team members must sign in to the same Notion workspace the organization connected.
- On Notion Enterprise workspaces where Restrict AI apps members can connect is set to Only from approved list, a workspace owner must approve Ventos under Settings › Connections in Notion before anyone can connect.
Admin: connect Notion for your organization
Section titled “Admin: connect Notion for your organization”A one-time setup, done by an admin.
- Open Settings › Integrations and click Connect on the Notion card.
- Click Connect to Notion.
- In Notion, select the pages to share and authorize Ventos.
To index more pages later, share them with Ventos in Notion. They are picked up on the next sync.
Personal connection
Section titled “Personal connection”Connect your Notion account to have Ventos create and update pages and database rows, add comments, move and duplicate pages, create folders, and attach files from a conversation (up to 20 MiB each) — all as you. Ventos works with your own Notion permissions, so it can only change what you can. It does not create databases or change database properties or views.
This step is available only after an admin has connected Notion for the organization. Until then, Connect on your card is disabled.
Connect your Notion account
Section titled “Connect your Notion account”- Open Settings › Personal Integrations and click Connect on the Notion card.
- Approve access on Notion’s screen, using the same Notion workspace your organization connected.
To disconnect later, click Disconnect on the card.
What success looks like
Section titled “What success looks like”The organization’s Notion card shows Notion is connected, and shared pages become searchable after the first sync. After you connect your own account, Ventos can make changes in Notion as you. Pages Ventos creates or changes appear in the knowledge base after the next Notion sync.
Troubleshooting
Section titled “Troubleshooting”I see a workspace mismatch message
Section titled “I see a workspace mismatch message”You signed in to a different Notion workspace than the one your organization connected. Nothing was saved, so connect again and choose the organization’s Notion workspace on Notion’s screen.
